This 2-day business case course will provide you with a framework to develop a business case to support any project or organisational change. It will take you through the fundamental components of a business case and assist you develop skills to boost the prospects of an effective outcome.

The support of your funding body requires business cases to use a robust and professional methodology; to provide strong, evidence-based analysis and a convincing business benefit presented capably.

A business case must align to the strategic priorities of the organisation, ensure the right people and resources are engaged to deliver the project and identify key decision points for reporting on milestones, risks and their mitigation.

This business case course will empower you with the tools and skills required to scope, design and document your business case, ready to pitch to a Board, an executive committee, individuals or venture capitalists.

Learning Outcomes

Making the Business Case is an intensive two-day workshop aimed at project managers, team leaders and business analysts that covers the entire process involved in justifying a project by means of a business case. It is intended to bridge the gap between the bare-bones technical justification of a project and the expectations of the business users and executives who will approve it.

Participants will learn how to:

  1. Determine the needs and expectations of management for the business proposal
  2. Structure, plan and develop a project business case
  3. Develop alternatives for analysis
  4. Determine appropriate financial and non-quantitative factors in justifying a project
  5. Identify the relevant costs and benefits in each alternative to be assessed
  6. Choose the appropriate methods of analysis
  7. Document and present a business case
  8. Use the supplied templates and flowcharts to improve existing processes

The instructor will use a variety of interactive methods during the course, including:

Course Content

This project business case course will cover the following content:

Introduction

  • Course objectives, contents of workbook and, templates.
  • What is a business case? When is it required? When should it be reviewed/revised?
  • Overview of business case process, roles of business and technical teams
  • Role of stakeholders – contributors and approvals

Identifying the options

  • Corporate goals and their relationship to projects
  • Alignment of initiatives with strategic directions
  • Organisational selection criteria, defining the problem or opportunity – seeking out the documentation
  • Identifying the options, making a framework for structuring the investment decision.  The Base Case. Screening the options. 
  • Templates: Alternative solutions report; broad scope template, project screening matrix.

Building Cost Scenarios

  • Defining the various costs that will influence the investment decision
  • Cost (or Work) Breakdown Structure
  • Direct upfront capital costs versus ongoing operational cost projections. Handling errors in projections.
  • Business/client direct and indirect costs
  • Indirect or hidden costs – initial losses in productivity, support, corporate overheads
  • Templates: budget spreadsheet, time-phased budget

Defining and Analysing the Benefits

  • Identifying both quantitative and qualitative benefits.
  • Measurement issues – Quantitative Vs Qualitative, KPIs and cost of measurement
  • Comparative advantages – cost reduction and productivity gains
  • Level-of-service advantages
  • Quantifying benefits – tangible and intangible, conditional benefits
  • Examples of benefits and measures.

Risk

  • Overview of the risk management process
  • Sources of risk in projects, assessing the risks (identifying, evaluating, prioritising and developing a response plan).
  • How to deal with risk in a project or investment.  Product, development environment and project risks.  Other obstacles.

Option Analysis

  • Understanding the organisation’s goals and priorities
  • Selecting the investment criteria
  • Cost effectiveness, avoided costs, labour cost savings, applying the non-quantifiable factors
  • Nature of cost-benefit evaluations, discounted cash flow explained, examples
  • Choosing the best option; weighted scoring methods; sensitivity analysis, computer simulation.

Documenting and “selling” the Business Case

  • Putting the case together
  • Overview of Business case table of contents and structure
  • Identifying the audience, finding a champion and communicating the results

Making the Business Case is designed for executives, line managers, project managers, team leaders and business analysts who need some understanding of the business case process used to justify a project.  It provides insight into the business justification process used in most industries, and hands on experience with financial, technical and strategic analysis techniques.

Delivery Style

This project management course will be delivered as an interactive workshop consisting of an instructor-led lecture, group and individual activities. This training approach allows participants to work through concepts introduced by the trainer in an application-focused teaching environment. Participants will challenge their understanding of the concepts and consider their application once back in their individual workplace.
